Do you recognise these challenges?

Managing technical installations, inspections, certificates, and compliance documents can quickly become fragmented and time-consuming.

Documents are spread across folders, inboxes, and different locations.
Finding the correct certificate or inspection report becomes difficult when information is not managed centrally.
You do not have a complete overview of all installations and inspection requirements.
Buildings often contain numerous technical assets with different legal obligations, inspection frequencies, and responsible parties.
Implementing a new platform requires more time and technical knowledge than expected.
Without structured onboarding, organisations may only use part of the platform and overlook important installations or documents.

What is Beconform onboarding?

Beconform onboarding is the complete setup and practical implementation of the Beconform platform within your organisation. Ecotel guides the process from the initial inventory to a structured and operational environment. We identify your buildings, technical installations, inspection requirements, documents, and responsible users, and connect this information correctly within the platform. This gives your organisation one central system for managing compliance, inspections, technical documentation, and follow-up.

Beconform onboarding intake and project scope

Understanding your organisation and compliance structure

The onboarding begins with an intake to understand your organisation, buildings, technical responsibilities, existing documentation, and current method of managing inspections and compliance information.

We determine which locations, buildings, departments, users, and technical categories must be included. This provides a clear scope and prevents the platform from being structured around incomplete or fragmented information.

Existing inventories, spreadsheets, inspection schedules, document folders, floor plans, and technical lists can be used as starting points. We review what is already available and identify which information is still missing.

The result is a practical onboarding plan adapted to the size, complexity, and operational reality of your organisation.

Inventory of buildings and technical installations

Identifying buildings and technical installations

A reliable compliance environment starts with a complete and structured inventory. We identify the buildings, areas, and technical installations that must be managed within Beconform.

Depending on the organisation, this can include electrical installations, heating systems, ventilation, cooling, fire safety equipment, lifts, gas installations, water systems, access systems, renewable energy systems, work equipment, and other legally or internally monitored assets.

Existing technical information is reviewed and, where included in the assignment, supplemented through an on-site inventory. Installations are registered with the relevant identification details, location, category, and available technical data.

We structure the information consistently across all buildings so that installations can be searched, filtered, assigned, and followed up efficiently.

This creates a central asset overview and reduces the risk that important installations remain outside the organisation’s inspection and document management process.

Centralised inspection and compliance documents

Collecting and linking technical documents

Technical and compliance documents are often stored across shared drives, physical folders, individual inboxes, and external service providers. This makes it difficult to know whether the correct and most recent document is available.

We help collect and structure the available inspection reports, certificates, maintenance records, plans, technical sheets, permits, contracts, and other relevant documents.

Documents are uploaded and linked to the correct building, installation, inspection, or organisational level. Where possible, document dates, expiry dates, inspection results, and other important information are registered as well.

During this process, missing, outdated, or unclear documents become visible. These gaps can then be included in a structured follow-up list instead of remaining hidden within incomplete archives.

Your organisation gains one central and searchable document environment in which information can be retrieved quickly during daily operations, inspections, audits, or incidents.

Compliance requirements and inspection planning in Beconform

Connecting installations to inspections and obligations

Registering installations and documents is only part of the process. The platform must also show which inspections, certificates, maintenance actions, or internal checks are required and when they must be renewed.

We connect the relevant installations to their inspection and documentation requirements. Applicable frequencies, previous inspection dates, expiry dates, results, and responsible parties are configured based on the available information.

This creates a structured compliance calendar and makes upcoming or overdue actions visible. Automatic notifications can help the responsible users act before documents or inspections expire.

Where the available information is incomplete, we identify the uncertainty and indicate which documents, technical details, or specialist confirmation are still required.

The result is a practical follow-up system that supports legal compliance, internal control, risk management, and audit readiness.

Beconform platform training and ongoing guidance

Helping your team use Beconform confidently

A platform remains effective only when the information is maintained and the responsible users understand how to work with it. We therefore guide your team through the practical use of the configured environment.

Users learn how to find installations and documents, upload new inspection reports, update expiry dates, assign responsibilities, follow notifications, and monitor the organisation’s compliance status.

Permissions can be adapted to different profiles, such as management, technical teams, site managers, external contractors, or inspection partners. This gives each user access to the information and actions relevant to their role.

After the initial setup, Ecotel can remain involved in follow-up, document processing, platform updates, or the onboarding of additional buildings and installations.

This allows your organisation to choose between managing the platform independently or continuing to rely on Ecotel for administrative and compliance-related support.
